What types of documents are needed to travel?
When traveling internationally, all U.S. citizens are required to have a valid passport booklet with a minimum 6 months left before expiration. International travelers under the age of eighteen (18) at the time of travel will need to check with the airline to see if they require a letter of permission from their parent(s) and/or guardian(s). Non-U.S. citizens should contact their appropriate consulate for specific documentation requirements. If traveling within the United States, travelers will need to provide a valid government issued photo ID. If you do not have a valid passport booklet or government issued photo ID, we highly recommend that you apply now as refunds cannot be given if you are unable to travel due to lack of required documentation. Is there an opportunity to have and participate in a group parent information meeting?
Absolutely. ISTours has local sales representatives that are happy to conduct an informative parent information meeting for the group. We appreciate that you may have questions and concerns and want to provide you with all the necessary information regarding our trips. To schedule a group parent meeting, simply contact the on-campus organizer and have them set up the meeting with their local sales representative.
How will my son or daughter choose his/her roommates?
The group's student Organizer(s) (or Sales Rep., if has one hasn’t been appointed) should hold mandatory rooming meetings (shortly after final payment deadline) for 'Active' travelers to attend (parents welcomed)so they can choose their roommates.Prices are based on quad occupancy (4 in a room) for most destinations and are "Run of House" availability, unless otherwise specified. All group rooming forms are due in our office from the group’s organizer or sales rep. NO LATER than April 1st (year of travel) – No exceptions or extensions to this deadline! Once final rooming is completed (April, year of travel), if your room has less than the required number of travelers, an additional hotel occupancy fee will apply, and will be required to be paid in full by the end of April (year of travel). If requested in writing, ISTours will try to assist you in finding roommates (additional roommate(s) not guaranteed), but ISTours is not responsible for filling rooms or if you have less than the required number of roommates per room. Your account is not considered "Paid In Full" until all rooming is complete.
Do you allow co-ed rooms?
Students wishing to have co-ed roommates must have an authorized ISTours permission form signed by the parent/guardian of all occupants in that room, regardless of age. ISTours does not assign co-ed roommates unless the required permission form is completed in full and received with their groups final rooming list, which is submitted by the group organizer(s) or sales rep. Co-ed or not, all travelers will still need to have the required number of students in their room to avoid incurring an additional hotel occupancy fee.
What happens if my son or daughter gets sick or hurt?
When you purchase a ISTours package, we provide primary medical coverage that provides coverage for sickness and accidents for up to $5,000. We also provide up to $10,000 of medical evacuation coverage. We also encourage all travelers to purchase an optional Travel Protection Plan, from Travel Insured International. Plan benefits help provide coverage for Trip Cancellation/Interruption, Baggage Delay/Loss, and more. Please review your Plan Document for terms and coverage details.
When are the trip dates finalized?
Departure dates are finalized after the final payment date and once the final size of your group has been determined. Travelers and parents will be notified of travel dates approximately 30 days prior to departure.
Does the school need to sponsor the trip?
No, generally ISTours trips do not require school sponsorship. Although most of our trips are not school-sponsored, we do enjoy great relationships with parents, teachers and administrators who travel with us every year.
How much spending money is needed and what is the best way to take it?
U.S. currency is accepted at most destinations. However, this does not necessarily mean that you will get the best exchange rate. We encourage traveler's checks as they can be replaced if lost or stolen. Depending on your destination, we recommend you budget for spending between $400-500 per week. ISTours also highly recommends purchasing a meal plan and on-site destination package, if offered for your trip. Doing so will save you a lot of money, as most meals and activities will be covered in this cost-effective plan.
What is ISTours destination staff responsible for?
Upon arrival at the destination airport, or upon meeting at the motorcoach pickup site, travelers will be greeted by trained ISTours destination staff to accompany them to their destination. Our destination staff will host a mandatory welcome orientation where travelers can pick up their ISTours wristbands and hear important information about safety, exchange rates, and event schedules. Location points will be assigned so that travelers will always know where to find ISTours staff during their trip, and additional contact information will be distributed. While ISTours destination staff members are not chaperones, they are available 24 hours a day to assist our travelers with any problems that may arise. Our destination staff members have the experience and knowhow to handle just about any situation to ensure every traveler gets the most out of their travel experience.
Are travelers allowed to drink alcohol on the trip?
It depends on the trip. For example, IST Campus Tours are 100% alcohol free for all travelers regardless of age. However, in Mexico and the Bahamas the drinking age is 18. Students of legal age on one of our IST Spring Break of GradWeek trips may choose to consume alcohol. Unless alcohol is prohibited on a particular trip, if a traveler is of legal drinking age for the destination, then the choice is left to the traveler. ISTours does not promote the consumption of alcohol on any of our trips and does not profit from the sale of alcohol on any of our high school trips, including GradWeek.
Why are we asked to sign up so early?
Signing up early reserves your space, gives you priority on hotel options, and provides you with the lowest pricing available. Incentives are also frequently offered when signing up early. Additionally, the earlier you sign up, the more time you have to make payments on your trip making the final balance easier to manage.
What rules does ISTours have?
We expect all of our travelers to behave as civilized, respectful adults, and if a particular traveler or group cannot handle themselves appropriately, they will be removed from our program at their own expense. ISTours requires that all travelers abide by the laws of the state/host country of our trips. Rules and regulations specific to a particular destination and/or hotel are explained during the mandatory welcome orientation onsite.
What if I find a better price for the same package?
At ISTours we do not offer rock-bottom pricing. We do our best to keep our prices low but at the same time want to provide our travelers with a high quality travel experience. Our on-site destination staff is second to none and we partner with high-quality name-brand hotels, airlines, and motorcoach tour providers. Travel with ISTours and you're traveling with the best. Based on our over 30 years experience in the travel industry, we can safely say that when you travel with a discount tour operator, you most often get what you pay for. Even so, if you find a lower price for the same package, please submit the package cost and travel details in writing and we'll do our best to meet or beat our competitor's price.
Are there any other fees I should know about?
Current departure taxes and fees, 'optional' trip protection insurance, as well as hotel security deposits, are listed on our travel brochures, if applicable. Please review your pricing sheet for details. All pricing is based on quad occupancy (4 in a room) for most destinations and are "Run of House" availability, (unless otherwise specified) and travelers are responsible for finding their own roommate(s). Should one of your roommates drop out of the trip, you are still responsible for finding a replacement or paying the additional hotel occupancy fee.
Are there any meals or events included in the package?
If you received a meal plan or event package as an early sign up incentive, then they will appear on your account at no cost. ISTours event and meal packages can be purchased at an additional cost upon arrival at your destination. Package information and inclusions will be provided to you prior to departure.
How do I obtain my travel documents?
Approximately 2-3 weeks prior to departure, your travel documents will be sent to you as long as your account is paid in full, including any occupancy fees. Your itinerary will also post on your online account as soon as it becomes available.
